Receptionist & Phone Skills Training

The first voice every customer hears should be your best one

Your receptionist sets the tone for every call that follows. C&M Coaching trains front-desk staff on the greeting, the transfer, the message, and the tough calls — using your real recorded calls, not a generic etiquette seminar.

What It Is

What is receptionist phone training?

Receptionist phone training is coaching for the people who answer your main line on how to greet callers, route and transfer them correctly, take complete messages, and handle difficult calls with professionalism. Because the receptionist is usually the first voice a customer hears, it protects the first impression that shapes the entire relationship.

A great greeting and a clean transfer sound simple — until you listen to how often they go wrong. A dropped call, a cold hand-off, or a half-taken message can quietly kill an opportunity you paid good money to create.

What We Coach

Every part of a front-desk call

The Greeting

A warm, professional, on-brand opening every time — so the first three seconds of every call build confidence instead of costing it.

Routing & Transfers

Getting the caller to the right person the first time, with a proper warm hand-off, so nobody is dumped into voicemail or bounced around the building.

Message Taking

Capturing the who, what, and callback details completely and logging them the right way — so leads and callbacks never fall through the cracks.

Tone & Etiquette

Phone etiquette that sounds helpful, not hurried: pacing, hold protocol, and language that makes the caller feel like a person, not an interruption.

Difficult Callers

De-escalation for frustrated or confused callers — staying calm, taking ownership, and protecting the relationship even when you can't fix it on the spot.

Capturing the Opportunity

Recognizing when a "quick question" is actually a sales or service lead, and getting it to the right team instead of ending the call too soon.

Any Front Desk

Great phone skills aren't just for dealerships

Dealership receptionists are a core part of our work, but the first call sets the tone in every industry. We've delivered phone skills training for retail businesses, doctor and dental offices, veterinarians, rental car companies, and healthcare teams. If your people answer the phone, we can make them better at it — see industries we serve or pair this with call quality assurance for ongoing accountability.

Questions

Receptionist training FAQ

What is receptionist phone training?
Receptionist phone training is coaching for the people who answer your main line — front-desk staff, receptionists, and switchboard operators — on how to greet callers, route and transfer them correctly, take complete messages, and handle difficult calls with professionalism. Because the receptionist is often the first voice a customer hears, this training protects the first impression that shapes the entire relationship.
How should you answer the phone at a business professionally?
Answer within a few rings with a warm, consistent greeting: a greeting word, the business name, your name, and an offer to help — for example, "Thank you for calling [Business], this is Maria, how can I help you?" Speak a touch slower than feels natural, smile (it changes your tone), and confirm you've understood before transferring. We coach this until it's automatic on every call.
Why does the receptionist matter so much?
The receptionist is the first impression and the traffic cop for every call. A fumbled greeting, a bad transfer, or a lost message can kill a sales or service opportunity before it ever reaches the person who could close it. Getting the front desk right protects every dollar you spend driving calls to your business in the first place.
Is this only for car dealerships?
No. Dealership receptionists are a core part of our work, but great phone skills training applies to any front desk. We've coached receptionists and phone staff at retail businesses, doctor and dental offices, veterinarians, rental car companies, and healthcare teams — anywhere the first call sets the tone.
How is receptionist training delivered?
We coach on real recorded calls. We listen to how your front desk actually handles callers, score it against a simple rubric, and coach each person one-on-one on the greeting, the transfer, the message, and the tough calls. It's practical and specific — not a generic etiquette seminar — and we track progress so managers can see it stick.
